Job Description:

Alongside caring colleagues and supportive leaders, our administrative and executive assistants provide a broad range of organizational and general workplace support to executives within TD

The Executive Assistant will provide dedicated administrative support to the Chief Operating Officer of TD Bank Group and administrative and general workplace support to the broader team as assigned. The position requires a highly effective communicator (including written communications) who can discreetly assist in managing matters that are both sensitive and highly confidential in nature. It also requires agility and the ability to triage competing demands.

This role requires regular collaboration with the leaders Special Assistant, in addition to Senior Operating Committee members.

Make an Impact:
  • Own and maintain calendar management for leader; troubleshoot conflicts with creative solutions
  • Coordinate travel for leader, includes supporting travel delay re-scheduling for national and international travel arrangements, in addition to rescheduling meetings with internal/external parties
  • Process expenses for leader and ensure timely completion
  • Support leader to successfully deliver on enterprise-wide and board level commitments
  • Support new to organization executives and accelerate adoption to TD culture - bridging information, processes, and key stakeholders
  • Ensure prompt responses to internal and external parties, including internal Senior Executive leaders, Board Members, and leader's immediate team
  • Assist in coordinating in-office or virtual meetings, townhalls or offsite events; may include booking meeting spaces, agenda development, technology setup, developing/amalgamating/proofreading PowerPoint decks, event day troubleshooting, and ordering catering with dietary restrictions
  • Maintain confidentiality and discretion on all matters
  • Prioritize and perform important administrative tasks, including on tight timelines, while balancing competing priorities
  • Apply appropriate due diligence to ensure accuracy in completing ad-hoc administrative tasks (e.g., reports, invoices, communications, tables, charts, files)
  • Provide vacation/temporary coverage for colleagues, supporting additional leaders as requested
  • Provide expertise and support the planning and the decision support process for a broad and diverse portfolio of activities, coordinating with a variety of internal stakeholders on behalf of the leader
  • Support leader in preparation for senior executive meetings and Board sessions
  • Support preparation and delivery of Board-level related materials
  • Provide leadership and direction to junior Administrative Assistants and Executive Assistants
  • Provide support while ensuring quality service and professionalism at every interaction
  • Participate fully as a member of the team and contribute to a positive work environment
  • Maintain strong organizational awareness and a current understanding of TDBG priorities and overall TDBG strategies and direction
  • Work with complete autonomy; collaborate with leader's team as needed
  • Provide operational support and/or optimize on process improvements as appropriate
  • Perform such other tasks and provide such other administrative assistance and support as assigned

  • Undergraduate degree preferred with over 6 years of relevant experience
  • Firm understanding of operational and business functions
  • Ability to think strategically and multitask while able to meet conflicting deadlines
  • Experience coordinating travel arrangements and comfortable managing frequent changes
  • Strong organizational skills to manage accountabilities while also managing leader's administrative requirements
  • Proven track record as an executive assistant
  • Demonstrated leadership skills for mentoring junior colleagues
  • Excellent oral and written communication skills with the ability to listen actively, ask questions and communicate effectively
  • Ability to collaborate with other Executive Assistants/Administrative Assistants, in addition to internal and external partners and Board Members
  • Can efficiently interpret TD policies and help executives apply these standards in a fast-changing environment
  • Extensive knowledge of Windows and Microsoft Office Suite and internet applications (Outlook, PowerPoint, Word, etc.)
  • Ability to work in a fast-paced environment and manage multiple deadlines and priorities
  • Ability to identify problems and barriers, and proactively identify and implement solutions
  • Strong judgment skills to apply discretion when working with confidential information
