Our client a fantastic company with a great culture and group of people, is looking for a new Payroll and Benefits Specialist to join their team. This role is entirely remote and can be based anywhere in Canada!

This role can be remote or Hybrid. 

What - the Role:

We're currently looking for a Payroll & Benefits Specialist to join our team either working remotely or in our Surrey, BC office. The Payroll & Benefits Specialist is responsible for the accurate and timely processing of bi-weekly employee payrolls and ad-hoc payroll runs for their assigned lines of business across this Family of Companies.
In addition to the core payroll processing functions, the Payroll & Benefits Specialist is responsible for administering the various group benefits and retirement plans, acting as the primary point of contact for employees in their assigned lines of business. 
Outcomes
Within 30 days
  • Meets individually with all HR & Payroll team members to gain an overall understanding of the department and team responsibilities 
  • Has a basic understanding of the Family of Companies payroll & benefit plans 
  • Cross trains with the existing Payroll & Benefits team to understand current processes, policies and systems 
  • Completes required WEBS & UKG Pro basic system training 
  • Under general guidance, accurately processes bi-weekly payroll in UKG Pro 
Within 60 days
  • Has a detailed understanding of all group benefit and retirement plans 
  • Completes all related UKG Pro Payroll and Benefits Administration modules 
  • Produces accurate/timely benefits billing for assigned groups 
  • Can successfully administer various group benefits & retirement plans (Health, Dental, Life, LTD, Health Spending and Taxable Wellness Accounts, RRSP, RPP, DPSP etc.) by adding new enrolments, processing life events, updating salaries and terminating past employees 
  • Accurately processes bi-weekly payroll in UKG Pro with minimal guidance and intervention 
Within 90 days
  • Accurately processes assigned bi-weekly payrolls in UKG Pro 
  • Confidently responds to employee and manager inquiries regarding their pay and benefits 
  • Efficiently administers group benefits and retirement plans for assigned lines of business, in a timely manner 
Responsibilities
Payroll Administration  
  • Administers and processes bi-weekly payroll for their assigned line of business across multiple Canadian provinces 
  • Reviews bi-weekly time and attendance and resolves issues with employees and/or managers prior to processing payroll 
  • Creates and updates earnings and deduction codes, pay groups, shifts PTO and pay policies in UKG Pro as needed 
  • Responds to payroll-related inquiries from employees and government agencies and/or other third parties  
  • Ensures payroll is in strict compliance with application regulations and internal policies  
  • Calculates irregular payments, including but not limited to bonuses, commission, SUB top up and other taxable allowances and benefits  
  • Processes employee terminations, calculates final pay, retiring allowance/severance and submits ROEs to Service Canada 
Payroll Information 
  • Maintains accurate employee records in UKG, including, but not limited to garnishments, PTO entitlement changes, cost allocations and other deductions 
  • Ensures time off balances are accurate; reconciles vacation accrual balance on bi-weekly basis 
  • Performs system testing as needed  
  • Liaises with Accounting/Finance, third parties, government and auditors regarding audit requests or other issues as they arise 
Payroll Year-End  
  • Conducts self-PIER audit of CPP and EI statutory deductions 
  • Runs test T4 slips and summary report; validates earnings and deductions are reporting in the correct boxes and balances to the payroll register 
  • Balances payroll tax account remittances to the payroll register 
  • Processes taxable benefits adjustments  
  • Prepares EHT and Workers’ compensation annual returns 
  • Processes final T4 slips and transmits to CRA 
  • Liaise with Finance Dept to prepare T2200/T2200S forms for remote employees as required 
Benefits Administration  
  • Administers various group benefits & retirement plans (Health, Dental, Life, LTD, Health Spending and Taxable Wellness Accounts, RRSP, RPP, DPSP etc.) by adding new enrolments, processing life events, updating salaries and terminating past employees 
  • Serves as the primary point of contact for employees with benefit related questions or issues; contacts carriers regarding claims issues and escalations  
  • Escalates complex benefit enquiries and issues with the Payroll & Benefits Manager as required 
  • Updates payroll deductions and taxable benefit amounts as needed 
  • Reconciles Benefits deductions and taxable benefits to Payroll on a quarterly basis  
  • Reviews monthly carrier invoices for Manager approval 
  • Administers plan reselection for assigned groups on bi-annual basis 
  • Coordinates with Finance to collect LTD and optional benefit premiums for employees on leave 
Other
  • Partners with Payroll & Benefits Manager and Human Resources team to set up new companies in UKGPro  
  • Performs other duties as required 
  • Creates ad-hoc reports as requested

What we are looking:

  • Payroll Compliance Practitioner (PCP) designation, or equivalent payroll experience 
  • Minimum of 3 years’ experience processing complex full-cycle payrolls (e.g. multiple locations, salary/hourly) 
  • Experience administering employee group benefit and retirement plans 
  • Experience with Payroll & HR systems, preferably UKG Pro
